This privacy policy sets out how we (The South Coast Land Rover Owner’s Club at https://www.sclroc.co.uk/) collect and use your personal information, how long it is kept for, and what rights you have.

Personal information we collect, and how long we keep it

When you contact us via Email

If you send us an email at any of our @sclroc.co.uk email addresses you will find on our contact page, your email address as well as any personal information you provide within the contents of your email will be stored indefinitely on our email system and will be accessible by the person that you contacted for as long as they remain a committee member, and, of course, our IT team.

When you apply to be, and become a member

When you apply to become a member you provide us with various pieces of personal information, including your full name, date of birth, address, telephone number, email address, vehicle registration details, and bank details. You may also choose to provide us with some of your interests and weather you are qualified in first aid. All of this information, excluding bank details, is saved in our computer system for the entire time you are a member, and deleted once you leave the club. Your bank details are stored as part of the clubs financial records and bank statements and have to be kept permanently to abide by financial regulations, so will not be deleted once you leave the club.

When you use our website as an admin

If you visit our admin login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in as an admin, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed. If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

When you use our website as a visitor

You can choose to enable Google Analytics when you visit our website. This will send information about your device such as your IP address as well as other device identifiers to Google, which they will then use to track your movements across our website. We do not have access to any personally identifiable information from this. It is all anonymised before it is sent to us.

How your personal information is shared

If you request a password reset for your website login, your IP address will be included in the reset email.

What rights you have over your data

Under the Data Protection Act 2018 you have a few rights in relation to your data. You have the right to access the data we have about you; have this data edited if it is incorrect; and have it deleted if you no longer wish for us to have it.

Right to access

You have a right to access the data we hold about you, including the information you gave us when you applied for membership, all emails you have sent us, and the financial records you are involved in.

Right to rectify your data

You have a right to rectify your information if what we hold is incorrect. If any of the personal information you provided us with when you applied for membership is incorrect please get in touch and make sure it is corrected.

Right to deletion

You have a right to have some of your information deleted if you no longer want us to hold it. As stated earlier in this privacy policy some of your data is automatically deleted, and some of it we are not able to delete.

The information you provide us when you register to become a member is only kept for as long as you are a member, and is automatically deleted when you leave. We need to keep this information for the entire time you are a member so you cannot request we delete this if you are still a member.

Any emails you send us are kept on our email system indefinitely as part of our record keeping and cannot be deleted.

Your bank details and financial transactions with the club are kept as part of our financial records and bank statements and we have to keep a permanent record of these to abide by financial regulations, so they cannot be deleted.
